Before using the 2do2 Application, the Children and Youth Aid Association accounted for grants using traditional excel. Forms based on the excel application were tailored to the needs of the organization, but did not always meet the needs of billing and monitoring the balances of funds in a given project. Despite these efforts and good preparation, the excel forms were not sufficient and a lot of time was taken up by the preparation of settlements to the forms required by grantors – so subsequent modifications, checking the correcting of data, time, stress. In addition, there was the human factor, in the form of errors in billing or creating formulas. There was a lack of a consistent, unified tool.

Mr. Maciej set himself the goal of finding a system to reduce the nightmare of billing

During his search, he came across the 2do2 Application, and it was the tool that the organization decided on.

The Association prepared in advance to use the Application. 2do2 was purchased in October (2022), and from that moment the implementation process began (training, brainstorming how to adapt the tool to the organization’s expectations). All employees of the administrative and project handling division were involved in the process. As a result, the organization, with peace of mind, was able to start using 2do2 from January 2023.

Currently, the tool is used not only to account for grants or cash from competitions and grants. All of the organization’s activities and their cost, is accounted for, monitored through 2do2, including economic and paid activities, fundraising activities and those that the Association accounts for entirely from its own funds., Thanks to this, all organizational units of the Association, financially managed in one tool, which allows you to monitor the status of expenses also for the entire Association.

On a daily basis, the application is used by 6 people, with additional projects there are external users, who at the time of establishing cooperation, are obliged to use this tool.

A huge plus of the application is that it has the ability to run tranche projects (called main project and sub-projects in the Application). What, in Mr. Maciej’s opinion, distinguishes 2do2 from other accounting tools is the fact that it is a tool tailored to the needs of NGOs. It allows you to monitor various sources of funding and additional financial management software is no longer needed in your organization.

The application, due to its clarity and intuitiveness, greatly facilitates the work of the organization

Mr. Maciej, as the person responsible for the projects and billing department, also values the ability to verify and control individual projects on an ongoing basis. He is able to check at any time what stage of settlement individual projects are at. According to Mr. Maciej, you can simply see from the 2do2 application that it was created by a person who knows NGOs inside out.

After a year of using the application, I can say that the changes that have taken place are a more transparent system of monitoring project settlements, accessing information about the progress of implementation at any time, reacting fast to errors, and most importantly preparing partial and final reports simply and fast.
